E-commerce challenges we understand

How e-commerce works

E-commerce means a high volume of transactions, many sales channels, rules that change quickly and returns that have to be handled.

International sales

Online shops often sell across borders, which means knowing the tax rules of different countries and the EU VAT OSS system (One Stop Shop, formerly MOSS).

Stock and inventory

Stock levels, storage costs and logistics need a specialist approach to accounting and tax settlements.

Protecting customer data

Online shops process their customers’ personal and payment data, which calls for particular care about security and compliance with the GDPR (RODO in Polish).

Frequently asked questions

Questions from e-commerce

How is international e-commerce settled for tax purposes?

It depends on who your customers are (businesses or consumers) and which countries you sell to. For B2C sales within the EU, the VAT OSS system (One Stop Shop, formerly MOSS) applies, and VAT is charged at the rates of the consumer’s country. For B2B sales within the EU, the reverse charge mechanism is used in most cases. Sales outside the EU are usually free of Polish VAT, but may be subject to local taxes in the country of delivery.

We help you identify your registration obligations in individual countries, prepare the right returns and streamline your settlement processes.

How are returns and complaints booked in an online shop?

Returns and complaints need proper documentation. When goods are returned, a correcting invoice is issued for the sale and the goods go back into stock. For complaints that are accepted, we also issue a correction or, in the case of an exchange, document the release of the new goods. For refunds it is important to link them correctly to the original transaction.

We help you set up an efficient way of booking returns and complaints, adapted to your online shop and including settlements with payment providers.

How is cooperation with influencers and affiliate programmes settled?

Cooperation with influencers and affiliate programmes can be settled in several ways. Most often this is a contract for a specific work (umowa o dzieło) or a contract of mandate (umowa zlecenie) with individuals, invoices when working with businesses, or barter (an exchange of services). Such transactions must be documented properly, especially barter. We book affiliate commissions as the cost of marketing services.

Our advisors help you choose the most tax-efficient form of cooperation with influencers and prepare the right contracts and documentation.

How do you connect the accounting system with sales platforms?

We connect the accounting system with popular e-commerce platforms through an API or ready-made plugins. We work with platforms such as Shoper, PrestaShop, WooCommerce, Shopify, Magento, Allegro, eBay, Amazon and others. Thanks to the integration, data on sales, payments and returns is transferred to the accounting system automatically, so nothing has to be entered by hand.

The system generates accounting documents automatically, settles VAT in different countries and updates stock levels. Our technical team sets up the integration and makes sure all data is processed correctly.

How can an e-commerce business plan its taxes?

Tax planning in e-commerce covers several areas. The first is the right legal form: for smaller businesses this may be a sole proprietorship (JDG, jednoosobowa działalność gospodarcza) with the lump-sum tax or flat-rate PIT, for larger ones a limited liability company (sp. z o.o.) or a limited partnership (spółka komandytowa). The second area is VAT, especially in international sales, where triangular transactions or consignment stock must be handled correctly.

The third area is costs, including logistics and storage. For international businesses, holding structures can also be considered. Our advisors analyse your business individually and propose legal solutions.

How is selling on marketplaces (Allegro, Amazon, eBay) settled?

Each marketplace has its own settlement rules, payment terms and fees. The key is to record revenue correctly (gross or net), together with commissions and other fees. For foreign platforms such as Amazon or eBay, VAT must be settled correctly in different countries.

We help you automate the download of sales data from the platforms, book all operations correctly and prepare sales reports broken down by platform. This gives you full control over your finances and shows clearly how profitable each marketplace is.
